FORMS AND MATERIALS REQUIRED:
WORK LOCATION: 400 Yesler Way (Yesler Building), Downtown Seattle.
WORK SCHEDULE: The workweek is normally Monday through Friday, 8:00 a.m. to 5:00 p.m. This position is non-exempt from the Fair Labor Standards Act regulations and is therefore eligible for overtime pay if scheduled.
JOB SUMMARY: This position supports the VanPool and VanShare Programs in the Rideshare Operations work group of the Transit Division. It is one of two positions that independently process all incoming monthly reports, payments and fare media from over 1,000 vanpool groups each month. The position also supports a staff of four Accounting Rideshare Services Representatives in reconciling and accounting for the actual payment and ridership details of each group.
PRIMARY DUTIES INCLUDE:
- Process incoming monthly report packets from commuter van customers. Verify payment, review and distribute documents received to other operations staff.
- Use a customized database application to “check in” reports, verify and ensure report received for the appropriate revenue month, code staff assignments and other pertinent details.
- Separate and organize checks and vouchers in preparation for deposit and use a customized database application to record all group payments.
- Prepare, verify and reconcile all funds received for deposit. Adhere to strict timelines for the deposit of funds, maintaining secure cash handling procedures.
- Apply accepted bookkeeping and basic accounting methods and applications to the review of expenses and revenues of the vanpool program and the deposit of funds to various holding accounts.
- Research and use a variety of data from different sources to reconcile account balance activity, operational data, workload and performance indicator tracking.
- Organize own work and work within a team environment to meet financial and operational deadlines.
- Review and recommend changes to procedures and identify process improvements.
- Compose, proofread and edit work process documentation. Compose customer correspondence and write reports of vanpool financial data and transactions.
- Provide excellent customer service (professional, patient and confidential) to internal and external customers.
- Interpret established policies, procedures and regulations for internal and external customers over the phone, in writing and in person.
- Complete special projects as assigned by supervisor.
- Archive documents, file documents, and mail handling.
- Other duties as assigned.
QUALIFICATIONS: This position requires three years of accounting or bookkeeping experience, with related accounting training. Additional qualifications include:
- Knowledge of bookkeeping methods, accounting procedures and basic mathematics. (Applicants may be tested)
- Proficiency in MS Outlook, Word, Excel, and Access. (Applicants may be tested)
- Basic ability in MS Power Point.
- Must be able to use a desktop computer, including the numeric keypad, rapidly and accurately. (Applicants may be tested)
- Demonstrated ability to perform detail-oriented tasks and research complex problems and issues.
- Demonstrated ability to operate a 10-key machine or calculator by touch. (Applicants may be tested)
- Demonstrated ability to prioritize workload, work under pressure with tight timelines and changing priorities, while simultaneously working on multiple assignments with attention to accuracy and detail.
- Effective customer service skills in person, on the phone, with co-workers, customers and other agency staff.
- Knowledge of proper English grammar, usage and spelling.
- Good written communication skills to include demonstrated ability to create documents that will be used and understood by others.
- Presentation skills required for staff briefings, project updates and sharing information with groups.
- Demonstrated ability to synthesize and analyze information from different sources.
- Demonstrated punctuality, dependability and daily and reliable attendance in previous job experiences.
- Demonstrated ability to develop effective working relationships and possesses successful work experience in making decisions in a team environment.
- Demonstrated ability to follow through on assignments.
- Must be self-motivated, take initiative and be accountable for work products.
DESIRABLE QUALIFICATIONS:
- An Associate of Arts in Accounting or equivalent training.
- Knowledge of public commuter vanpool programs
SELECTION PROCESS: Applications will be screened for completeness, clarity and minimum qualifications. The most competitive applicants may be invited to participate in a computer exam to assess skills with MS Word, Excel, Access, data entry, 10-key and math. Following the testing phase, the most competitive candidates may be invited to participate in an interview process. Finalists may be asked to participate in an interview with management. References will be conducted prior to selection.
