Job Description: The Administrative Specialist II position is part of a support staff team in the Permit Center Section of the Building Services Division and provides administrative support services to section management, Permit Review Coordinator staff and the department’s public service functions. The duties of the position include a high level of customer contact, a variety of assignments depending on daily needs and excellent organizational skills to ensure smooth section operation. Extensive training will be provided to the employee to gain a comprehensive understanding of the organizational structure of the Department and the functions of the various sections and divisions. Primary responsibilities include:
- Answering the main Department telephone line and responding to inquiries from the general public regarding the permit processes, permit status, and property research options and information. Triage calls and refer calls to the appropriate person/division.
- Assignment to the department’s front reception desk to greet and assist walk-in customers and schedule appointments.
- Administrative permit processing work including file management, updating of permit routing screens, processing and distributing permit drop-off information, creating permit activities in the electronic permitting system as directed by the section supervisor or leads.
- Compose, draft, word process, proofread, and edit documents, correspondence, information bulletins and permit information forms for use by public and staff. Ensure sufficient copies are updated and available in office locations and web site.
- Regularly gather section work activity information including permit activity, appointment times and other relevant information and prepare summary reports for dissemination.
- General office duties including supply coordination, distributing mail and other duties as assigned
REQUIRED QUALIFICATIONS, KNOWLEDGE, SKILLS AND ABILITIES:
- High school diploma or G.E.D. and two (2) years full time office experience with one year of experience working directly with the public.
- Excellent interpersonal and customer service skills with demonstrated ability to positively interact with a variety of people in a diverse work environment.
- Effective listening skills and the ability to deal courteously, professionally and tactfully with the public.
- Keyboarding skills and proficiency in a variety of software programs, including MS Word, Excel, and Outlook or equivalent (will be tested).
- Demonstrated skill in file management.
- Demonstrated skill at working independently as well as an effective team member.
- Demonstrated skill in action tracking of specific work assignments to assure accurate and effective results.
- Demonstrated skill to handle multiple tasks and prioritize work an a daily basis
- Knowledge of proper English grammar, usage and spelling
- Demonstrated punctuality, dependability, and good work attendance.
DESIRED QUALIFICATIONS:
- Familiarity with permit processing and construction terminology.
NECESSARY REQUIREMENTS: Must be able to lift and carry 30 pounds including large rolled plans.
