Office Of Domestic Preparedness (ODP) Training
(As of 8/1/06 new requests for OT/BF by Fire Service and HazMat will not be processed and therefore not eligible for OT/BF reimbursement)
Homeland Security Training Grant funds are available for courses authorized by the Office of Grants and Training (OG & T). Grant funds allow reimbursement of overtime/backfill, travel and per diem for the student attending the course. King County's Office of Emergency Management is able to offer various in state and out of state OG & T courses. All courses are free for qualified emergency responders and must be requested prior to course attendance. If you have any questions about this process, status of an application or reimbursement please contact the Region 6 Training Coordinator.
Instructions - Applying For training and expense reimbursement
As of June 1st, 2006, if you are applying for an out of state OG & T training course please submit your Expense Pre Approval Application Form at least 45 days prior to the desired course date. For in-state OG & T courses submit your application at least 30 days prior to the course date.

| 1. | Contact your agency lead to confirm your eligibility for the OG & T course you wish to attend. | ||
| 2. | If you are eligible to attend the course, complete the Expense Pre Approval Application Form. A unique Application Number will be assigned when you complete the form. Use this number to refer to your application when contacting the Region 6 Training Coordinator (R6TC). | ||

You must also complete the following two steps or your application will not be processed:
Your application will not be processed if you fail to submit the form by e-mail. Your application will not be processed if you fail to mail a signed application form. Submit the form by e-mail. This will notify the R6TC that a new Application Number has been generated. Your application will not be processed if you fail to submit the form by e-mail. |

| 1. | After your application is reviewed by the Region 6 Homeland Security Subcommittee, the R6TC will inform you via e-mail once your application has been approved or rejected. | ||
| 2. | From the date you are notified of your approval to enroll/attend a course, you will have 4 months to complete the course if you wish to seek reimbursement from the R6TC. If your course is postponed or extenuating circumstances exist for not attending the course within the 4 month timeframe and you still want to seek reimbursement, contact the R6TC. | ||
| Once you have completed your training, you may request reimbursement by using the Subgrant Invoice Form. This request must be submitted within 30 days of course completion. Make sure that in the "activity" section of the invoice you provide the number of hours and OT/BF rate for each individual for which you are seeking reimbursement. If you have your own form for tracking hours and OT/BF rates you may provide that in lieu of providing that information in the "activity" section. If you do not submit for reimbursement within 30 days, you must request it in person at the next Training and Exercise Subcommittee meeting. There is no guarantee you will be reimbursed as a result of your in person request. Your reimbursement will not be processed without an approved Expense Pre Approval Application Form and a Subgrant Invoice Form. | |||
| Please provide the R6TC with a copy of your course certificate OR an email stating your name, organization, course attended, location and dates of course and that you are not seeking reimbursement. | |||

You will need Adobe Reader 7.0 or a later version to fill out the form. You may download the latest version of Adobe Reader for FREE. Read and follow the instructions provided in the form. If you have difficulties using the form, contact our office. For any other questions regarding your application, contact the Region 6 Training Coordinator. No hand written application will be processed (no exceptions).
